
Facility Specialist

- Ability to work independently and handle a variety of responsibilities
- Proficiency in using office software
- Experience in facilities management, office administration, or a related field is a plus
- Knowledge of health, safety, and environmental regulations is a plus
- Coordinate and manage daily facilities operations, performing daily facility walkthroughs to maintain a safe, clean, functional and enjoyable office environment
- Act as the main point of contact for employees and third-party vendors regarding facilities
- Collaborate with vendors and service providers to ensure quality and timely delivery of services
- Support with emergency, fire, health and safety codes, and other relevant regulations to ensure compliance
- Support with coordination of emergency trainings
- Coordinating and overseeing general maintenance, repairs, remodeling or construction projects, ensuring requests are handled with high quality approach and in a timely manner
- Assist in space office layout coordination for internal events
- Management of inventory, order and restock of the workspace supplies (food and beverages, office supplies, etc.)
- Handle administrative tasks, such as processing POs, providing reports
- Maintain accurate records of facility-related documentation and invoices
- Follow-up of bank, notary etc. transactions in case we need outside the office.
