- Monitoring of T&C dispatch book.
- Follow up of T&C documents that are under signature process.
- Maintain the Employee Digital File and ensure it is up to date – i.e Scan copy of employee documents, and upload on Oasys accordingly.
- File employee documents in employee files as and when its required.
- Follow up on probation review and prepare confirmation letter.
- Prepare T&C Letters as per request on OASYS.
- Raise request on Material Control - monthly stationary request, etc. & ONEX request.
- Raise claim expense and any other form as and when required.
- Conduct reference check for new joiners – Level 1 up to Level 4 as and when required.
- Monthly report – Probation reviews completion, air fare reconciliation.
- Assigned specific T&C projects as and when required.
- Back up of T&C Coordinator in his/her absence.
- Prepare announcement
- Prepare the winners vouchers.
- Prepare the nomination letters and winners certificates.
- Taking pictures during the event and prepare posters to send through email post event.
- Put the EOM winners on the recognition wall and display on the communication TVs.
- Ensure that all presentations are prepared and distributed on time.
- Ensure that all flyers and posters for subsequent weeks are prepared and ready by Thursday of the previous week.
- Ensure that employee professional profile pictures are kept up to date in the employee folder.
- Responsible for Heartist and Activities photo documentation.
- Participating in all Welfare Meeting.
- Taking part on weekly engagement activities for Heartists and ensure its in compliance with the planned calendar.
- Taking part in CSR activities.
- Ensure that the upcoming Monthly Birthday Calendar is ready and disseminated before the end of the current month.
- Ensure that birthdays and work anniversaries are posted in timely manner.
- Ensure all communication channels are up to date. Flyers & posters being posted on the communication TV daily.
- Serve as the point of contact for new onboarding ticket and repatriation ticket arrangements.
- Working closely with the Recruitment and Onboarding Teams to ensure that tickets are issued in the most convenient for new hires while adhering to our Policy.
- Provide support to departments if required in terms of Business Ticket issuance.
- Act as a point of contact for the Ticket Agency.
- Ensuring that ticket tracking is up to date.
- To coordinate with the Finance department and the Travel Agency in terms of LPO and Invoices, ensuring that no outstanding invoices exist.
- Liaison with Heartist and the Finance team to ensure that all deductions are applied in the same month.
- Prepare Taskforce Agreement, follow up on the signature.
- Follow up with department on Taskforce Attendance after finish their assignment.
- Share signed attendance and follow up with sending hotel in regards to Taskforce Invoice.
- Provide support on Taskforce & Cross Exposure Arrangement including flight ticket booking, accommodation arrangement if required.
